Stop Chasing New Leads. You’re Already Sitting on £75k.

You spent 3 hours pricing a 40,000 sq ft office cleaning contract.

Walked every floor. Measured every toilet. Counted every bin. Built the quote in your van on the way home. Sent it over at 7 PM.

Then your phone rings.

It’s a different prospect — the one you quoted 6 weeks ago for a £7k/month office contract. They’ve been waiting for you to call back. They assumed you weren’t interested.

They signed with your competitor.

That’s £84k/year. Gone.

Not because your quote was too expensive.

Because you forgot to follow up.

Multiply that by the 3-5 deals a year, and you lose the same way.

  • Service type

  • Site location

  • Estimated contract value

Why this matters:

You spent £150 generating this lead. Wait 2 hours, your competitor has already called.

Stage 2: Contact Made (Touch #2-4 — Persistence Starts)

Trigger: First conversation

Sequence:

6+ attempts = 90% contact rate. One call = 40%.

The FM at that 40,000 sq ft office isn’t ignoring you. They’re managing three suppliers, two complaints, and a budget review. If you don’t chase, they’ll assume you’re not serious.

Persistence isn’t annoying. It’s professional.

Professional persistence beats one-and-done every time.

Stage 5: Negotiation (Touch #11-12 — The Close)

Track:

  • Price pressure? (Margin squeeze)

  • Start date issues? (Ops capacity)

  • Scope changes? (Spec creep)

Set a decision deadline. Don’t let deals linger 3+ months.

Prepare mobilisation:

  • Site induction dates

  • Key handover

  • Uniform/equipment delivery

  • Staff recruitment

Close or disqualify:

No reply in 30 days? Mark it lost. Log why:

  • Competitor

  • Budget pulled

  • Timeline delayed

  • Price objection

This data becomes your intelligence for the next deal.

Most FM operators are sitting on £50k-100k in recoverable pipeline and don’t know it.

Here’s how to find out exactly how much:

Step 1: Pull Your “Sent Quotes” Folder (5 minutes)

Go back 6 months in your email. Search for:

  • “Quote attached”

  • “Proposal for [service]”

  • “Pricing breakdown”

Count how many you sent. Write it down.

Step 2: Count Your Follow-Ups (5 minutes)

For each quote, check: how many times did you follow up?

Tally:

  • Quotes with 0 follow-ups: ___

  • Quotes with 1-2 follow-ups: ___

  • Quotes with 3+ follow-ups: ___

Step 3: Calculate Your Pipeline Leak (5 minutes)

Use this formula:

Pick the 5 most recent quotes (last 90 days) where:

  1. The site was 20,000+ sq ft or £3k+/month (or relevant parameter)

  2. You had a good conversation (not a cold tender)

  3. They didn’t say no — they just went quiet

Use this script:

“Hi [name], we quoted you back in [month] for [service] at [site]. I realized I never properly followed up — that’s on me. Are you still looking at options, or have you moved forward with someone else?”

In my experience, 1 in 7 dead leads will re-engage with this approach. Sometimes higher if the quote was recent.

Even at 15%, that’s £30k-60k in recovered revenue from 5 calls.
